Requesting a security quotation: details that make a difference

A guide to preparing a clear quotation request and comparing scope and coverage.

Turn a need into an operating description

A request may start with we need security guards, but an accurate quotation needs an explanation of their work. Define the city, facility, entrances, hours and users. Describe posts such as a main gate, service entrance, parking or internal rounds. If you do not know the right staffing, request an assessment rather than guess. This helps providers understand the service and avoids differing quotations because one assumes a single entrance while several operate simultaneously.

Specify supporting services

Facilities may need supervision, a vehicle patrol, radios, camera monitoring or female personnel. List these separately and ask for included and optional items to be identified. Some resources, such as a guard room or existing systems, may be provided by the client; others depend on the supplier agreement. A picture of a vehicle or device in a company profile does not mean it is included free in every project. Responsibilities and startup deliverables should be understandable and reviewable.

Define duration and startup

Start dates, duration and temporary or ongoing requirements affect planning. A short event differs from a construction project changing over months or a facility with stable operations. Temporary requests need day counts and daily hours, plus any stages that change coverage. If the start date is tentative, say so. This supports realistic preparation and equipment planning. The final agreement records the schedule and responsibilities and explains how subsequent changes are approved.

Compare on the same basis

Compare quotations using a shared scope: posts, shifts, personnel, supervision, equipment, reports and duration. Clarify missing items before comparing totals. Review payment terms and the financial components stated in each quotation. Price differences may reflect different services rather than better or worse efficiency. The aim is to understand deliverables against cost and explain the comparison internally with clear reasons, instead of selecting a lower figure without understanding its components.

Appoint a coordination contact

One operational contact helps collect information, approve clarifications and resolve changes before startup. They can gather the site plan, gate hours, access requirements and contacts. Sensitive details need not be published in a general form; give an initial description and share necessary information through a suitable channel later. Agree on reporting and recipients. This makes the transition from quotation to service easier and reduces conflicting instructions from different facility departments.

Submitting to Al-Khairy

The quotation page lets you select services, city and shift pattern with facility and required contact details. Describe actual needs, and explain multi-site or multi-city coverage. Receipt does not automatically establish a price or accept operations; the team reviews details and contacts you to complete what is needed. A proposal can then define services, components, duration and terms. Job applicants should use the careers page so their request reaches the right process and customer and applicant information remains organized by purpose.
